Parent/Teacher Conferences Reach the 21st Century !


As you may have already heard, we have our first Parent/Teacher Conferences scheduled for October 4, 2012 from 6:30 PM until 8:30 PM. These conferences are an opportunity for you to meet with your students teachers to discuss their classroom progress. Although you are able to keep up with your student’s progress via the parent portal of Power School, a sit down conference with the teacher is always beneficial.  You will be the first group of parents to try out our new system for signing up for conferences. Starting right now, and until 2:00PM on October 4, 2012, you can sign up online for a parent conference with your student’s teachers. The process to sign up is simple and convenient.

Follow the directions below to schedule your appointments. I’m looking for feedback in this endeavor, so please be certain to let me know what you like and what you don’t like about the process. The goal here is to make it more convenient and more efficient to sign up for conferences.

A bit of a quirk in the school calendar …hard copies of Term I Progress Reports will be sent home on Friday October 5, 2012, the day AFTER conferences.  You understand that you and your student should be checking the Parent Portal on a regular basis and therefore you already know what is on the progress report. However, as always, if you don’t get an appointment with any teacher you would like to see, you can ALWAYS contact the teacher directly via email to set up a mutually convenient time.

Directions for Accessing Pick-a-Time

Pick-a-Time is a web-based application to schedule conferences with teachers during the October 4, 2012 parent/teacher conferences. By using Pick-a-Time, you can schedule appointments that meet your busy schedule, print your scheduled appointments, and even receive an email reminder. In order to use Pick-a-Time, you will need to know your student’s ID number. This can be found on a student schedule, a progress report, a report card, or via the Parent Portal on PowerSchool.Create a Parent Account

In order to schedule parent/teacher conferences in Pick-a-Time, you will need to create a user account.

1. Go to

TIMESAVER: You may want to bookmark your school’s Pick-a-Time link as a favorite for future use.

WARNING: Do not go to the Pick-a-Time main website to create your appointments.

2. Create an account by entering your email address and a password. If you do not have an email address, you can make one up using, e.g., This e-mail address is being protected from spambots. You need JavaScript enabled to view it .

3. Click the Login/Create Account button.

4. Fill out the required fields. The First and Last name fields should be your name, not your student’s name.

5. Click the OK button.

6. Enter your student’s ID# and birthday (mm/dd/yyyy format) in the Student ID and Student’s birthday fields.

7. Click the Add button.

NOTE: You can add additional children attending this school once you have selected a conference date.

Create Appointments

You can begin scheduling appointments once you have created an account. Each school determines the start and end dates and times for appointment taking in Pick-a-Time. Please check with your school regarding these dates.

1. Log in to your school’s Pick-a-Time site if you are not currently logged in.

2. If you have additional students attending this same school, enter their Student ID and birthday and click the Add button.

3. Click the colored square for the teacher whom you would like to schedule an appointment.

4. Deselect the checkbox if you do not want an email reminder or you can change the timeframe of the reminder.

5. Click the Create Appointment button. A black square indicates your scheduled appointment. A white square indicates the time is unavailable.

6. Continue until all appointments have been scheduled.

Print a Schedule

1. Click the Printable schedule link.

2. Use your browser’s print command to print a copy of your schedule.

3. Click the Return link to return to the Appointment screen.

4. Click Logout when finished.

NOTE: Please bring your schedule with you to the conference.

Cancel or Change Scheduled Appointments

You may cancel or change an appointment any time prior to the end date/time of Pick-a-Time appointment taking. If you need to cancel or change an appointment after that time, please contact your school.

Cancel an Appointment

1. Log in to your school’s Pick-a-Time site.

2. Click the Your schedule link.

3. Click the Cancel link next to the scheduled date and time.

4. Click the Cancel Appointment button to confirm the cancellation.

5. Print a new copy of your schedule. Follow the directions above for printing your schedule.

NOTE: Follow Steps 2-4 to cancel additional appointments.

Change an Appointment

1. Log in to Pick-a-Time.

2. Click the Your schedule link.

3. Click the Change time link.

4. Select a new date or time for this teacher appointment.

5. Click the Change Appointment button to confirm this change.

6. Print a new copy of your schedule. Follow the directions above for printing your schedule.

NOTE: Follow Steps 2-4 to change additional appointments.

Edit Pick-a-Time Account Information

You may edit your Pick-a-Time account at any time.

1. Log in to Pick-a-Time.

2. Click the Edit Profile/Change Password link.

3. Make any changes to your account.

4. Click the Update button.

5. Click Logout when finished.

    Mr. Kelly: I love the new “pick a time”, it was so easy and I was able to get appointments with all my son’s teachers one right after the other. That has never happened! Thank you so much for being so “techy”, I also really enjoy the blog and check the website daily. I wish all the schools in the Silver lake district would make teacher email available and update their websites so consistently. The only feedback I can give you is that when I tried to put my son’s birthday in there was no spot to do it, my husband was able to figure out that the site does not support google chrome, he just switched it to internet explore and it worked.

    Much simpler than the directions had me thinking! Easy to schedule appointments for more than one child and the printable schedule puts it all in order. The only thing that would be nice to know are the room numbers the teachers are in to help with scheduling enough time to get to/from. Thank you!

    Very user friendly. Thank you. I don’t think I have ever been able to schedule all teachers in one evening.
    I agree with Joanne, having room #’s would have been helpful in order to see how much ‘travel’ time would be needed.

    Mr. Kelly, I like this way much better. The ability to pick all the teachers near each other instead of going upstairs and then downstairs and vice versa works much better. The only suggestion I can make is that if you have the room number of the teachers on the appointment making page – as I was not sure where the teachers were located until after I picked the schedule and then I went in and adjusted it so I can see all the teachers on the first floor and then go to the teachers on the second floor. Great idea! Thank you.

    Wow, the time slots are filled for some of the teachers. What happens when you are not able to schedule an appointment with a specific teacher?

      As I mentioned in my last blog posting … we all expected teacher appointment slots to fill up more quickly using this new method. If you are unable to book an appointment, then please email the specific teacher with any question you may have or ask to set up an appointment at a mutually convenient time, usually at 2:00PM. Also, I am very proud of our faculty and the manner in which they reach out to families whose students may be struggling in their class. Another avenue would be to connect with your child’s guidance counselor. Of course, you have the Parent Portal at your disposal whereby you can check on your student’s progress in class at any time. Hope this helps.

    I went on line monday morning early and was only able to get an appointment with one of the four that I wanted, so I’m not impressed.

      The appointment scheduler has been open for almost two weeks. Therefore, I am not surprised to find that many teacher’s appointment schedules are full. As I mentioned in a blog post, please feel free to email any teacher to set up a conference time that is mutually convenient. You could also call and leave a message for the teacher as well and they will get back to you within 24 hours. Hope this helps.
